I've been asked to develop a policy for our employees who drive for the company. All employees use their own vehicles and travel all over the UK and sometimes abroad (own car or hire car). Does anyone have any advice or a policy in existance which could be adapted to our situation. I have been asked for this policy urgently and having read HSG 382 I'm thinking the policy and subsequent Risk Assessments will take longer than I've been given.

Please ensure that you cover use of mobile phones. Would suggest wording:

"The use of handheld mobile phones while driving is illegal and expressly forbidden, as is the sending/typing and reading/receiving of text messages. The company does not require or expect you to use a mobile telephone while driving"

It is important to view this type of use as the risk of an accident is multiplied by the distraction caused whether hands-free or not. Planning of journeys and taking the appropriate breaks should provide ample opportunity to deal with telephone calls.

Hi gillzlloyd,

We added mobile devices, to include satnavs, ipods, dvd players etc. You'll be surprised what some people think they can also do whilst they are behind the wheel of a vehicle!

Wazza, agree with the sentiment of your mobile phone/driving policy and would advocate same but are you sure it's illegal to use one with handsfree?

As a very quick, non-exhaustive guide, try:

Vehicle checks
Legal responsibilities while driving
Loads
Driving hours, journey durations and breaks
Breakdown and incident procedures
Driving Licence requirements, C1 D1 for instance.
Dimensions of vehicle (if necessary).
Stress the different speed limits for different vehicles.
Legal requirements such as First Aid box, Fire Extinguishers etc.
use of phone
use of equipment - bulbs, triangle, high-vis
driving in all weathers
seasonal differences
highway code knowledge
Fitness to drive

Information section regarding:
licence renwwal
medicals
Driver CPD
