Hi I represent a small company who currently use paper based site management systems and are looking for suggestions for handy systems to capture the usual site information and details e.g. delivery dockets, WTN's. RAMS, COSHH, signatures,etc. The risk with paper as we all know, it gets lost, dirty etc and come audit time, we are left scratching our heads. As this is a small company, cost is obviously an issue so I am looking for something practicable and affordable. Suggestions please. Thanks folks.

Morning, Have a look at Jot-form, It's in no way a health and safety product but at the same time in my opinion this is a bonus, you will have to put the leg work in creating the forms, the paid versions do have a PDF scanner to turn your docs into online forms but for small companies it's cheap, I use it for my visitor register, various walk arounds that can include documents attached and pictures for any evidence that may be completed by others and a few other things that may require some E signing, which all email a neat branded customisable PDF back to me and store it online. It's free too with form limits but at least you can get a feel for it before paying. Edited by user 06 October 2025 10:08:08(UTC)

I have just had a look at Jot-form and it looks a bit like an enhanced MS-Forms thing. This might be useful for what you want but the problem with these systems is that YOU need to have clear idea of what you want so you can design a system for yourself. If you are aren’t really into IT you might find it tricky to connect all of the things you want to do. On the other hand there are proprietary systems which sort of work but you end up having to use their methodologies to run your business.

There are lots of different systems out there so it really depends on your budget. I am currently using Compliance Genie from Be Safe and the ability to create our own forms and work flows is great and when I went to tender was one of the cheapest/cosst effective system. You need to be clear on what you want it to do, work flows, reporting etc so you get the best option for you
