At the moment i am currently reviwing the companys permit to work procedure that has in my view been poorly managed.
I am at the moment creating a list of generic contractors such as equipment calibrators, cleaning contractors, gardening services and all other contract based contractors that visit our permises to perform works.
I would like some advice regarding receving risk assessments and method statements off these levels of contractors and having an approved list that is reviewed anually.

Any advice will be much appreciated.

Get a list of who currently services your organisation, split it into groups if you so wish; produce a letter with two types of contractor assessment pro-formas, one for more than 4 employed and one with less than 5.

Both Pro-formas will be different requiring additional detailing from the less than 5 company as they are not likely to have produced a policy etc. Once you have asked all the questions you want and they have been answered and documentation supplied to you and the teams satisfaction, simply create a data base of contractors, induct, observe and take it from there.

I will not mention to you that I have pro formas suitable for the initial assessment if you needed them, there are however many in existence that you can tailor to your own needs.

If you enter the information into Outlook you can then flag when the information you need such as updated insurance detailing and it will simply remind you. When asking contractors for information in the first instance just request a sample MS and and a couple of RA's Haz Ops, JSA's etc, no need to be overly specific in the first instance until you decide the contractor is approved.
