Currently i have 1 original that sits in the office, 1 that goes to site agent and 1 to client... do i need to keep a copy for me also?? - i.e. incase the brown stuff ever hit the fan, i don't want my reports going AWOL in the company to try and protect themselves...

if so, what is the best way?

Depends on how secure the system is for keeping them at the office.... You may not be liable but it may cause some embarressment and frowns at yourself and the company as a whole if they have appeared to have sprouted legs when requested to be seen by someone?

Use the photocopier for your own sanity, and perhaps an IT database of who, where, what and when inspections conducted; and record any other info that may be relevant.

Or you could just copy the reports and have a note book or diary with significant items of note in...it's called contemporaneous notes.

Don't go for an IT database if there is an investigation the computer will be seized as evidence and it will be unlikely you will ever see it again, until it is really old...

I have note books and diaries going back 15 years and they have served me well in and out of court.

if i don't keep copies - but do keep a small note pad with dates and times... would this be acceptable?
