Hi There,
Am in the process of arranging some training for our operators which is to be delivered at the Providers own site - which is not very far away 20Km. I did consider having the training delivered at the workplace - however this is not feasible.
It is a one day training event for each operator but have had to book 9 days in order to get all the guys through the training as it is for a max of 3 people per day. Have been asked where we stand in relation to travel to and from the venue. Do i have to book in a hire car for each team in attendance of the training? Some of the guys would rather travel in their own cars as the venue is nearer to their own home, they are familiar with their own vehicles and they are less time restricted for getting to and from the course. Some have obviously requested if there is any expenses they can claim and where do they stand should they carry passengers in their own vehicle while on company business - seems like this is opening a can of worms to consider. Any practical advice out there?

I don't see a problem. Provided you are satisfied that the training provider is a bonafide company with suitable facilities - end of story. People can choose whatever means of travelling they wish, just as they do for a normal workplace.

Many insurers will consider travel to training as "business use" and therefore you will have to satisfy yourself that those using their own cars are covered by such a clause.
Travel to and from work is normally covered by a term along the lines of "travel to and from your normal place of employment".
It is an offence to use a vehicle on the highway without insurance - it may also be an offence to incite such (you telling them to do it).
Ignorance is no excuse. Agreeing that in the event of an accident everyone will say they were not "at work" or "on the way to training" is fraud and possible perverting of the law.
Ask them to show proof of adequate cover. Pay reasonable expenses (47p/mile was the old AA recommendation from memory). Or hire a car.
If you doubt anything here, speak to your own insurers.
Google "business travel policy" and you might find a suitable policy.

Thank you for your responses. We have decided to give the operators a choice in how they would like to travel to the training venue. For some it is more convenient for them to drive directly rather than driving into work, collecting a hire car then driving to the venue in an unfamiliar vehicle, then returning the vehicle to car in order to collect their own vehicle to drive home afterwards. - It doubles the time spent in a vehicle travelling etc and eats into their own time. They will be advised that travelling in their own vehicle, they must ensure its road-worthiness, MOT, Insurance etc. We do run regular Driving safety courses where all employees have the opportunity to attend if they wish - compulsory for company car drives and those who regularly drive for business. For those without sufficient insurance cover and for those who wish to use a hire vehicle - it will be available for them on the day of the training. Thank you
