I have tried searching but to no joy. As our company is in the surfacing industry, we hire plant such as paving machines to clients. Every so often, we are asked for plant service records for the machines. What would you class as acceptable for plant service records? Our fitter is internal to our organisation and simply fills out a chart to confirm it has been checked and a note of any maintenance undertaken. We do not have any documented "service records", they need no real calibration - just simple TLC. I would be grateful of any advice that can be given or even examples of what you feel is acceptable when we get asked for copies of plant service records. Marc

What the client is asking for - unless I'm mistaken - is evidence that the machines are maintained. This is usually in the form of a certificate of thorough examination & testing for your work equipment. These are usually undertaken by specialists external to the organisation. Depending on the equipment in use the testing regimes may be different. You could ask your equipment manufacturer what information should be included in a thorough examination - they may even come out and do them for you. What evidence does your insurance company require from you to prove the equipment is maintained? They may be able to conduct an inspection themselves and provide you with a certificate as evidence that you could pass on to your clients. Hope that helps?

Marc If your company is a registered plant hire company, then you should be part of an organization that governs the hire agreements etc ( forgive me but the name of said organization eludes me at the moment)and they will be able to give you guidance We ourselvevs hire large amounts of plant annually from a large national company and they supply us with a 12 montly inspection certificate, which they have to get carried out for their insurers Hope this is useful to you

I think i'm right i thinking CPA is what Dec 1888 is referring to :) I would suggest quantifying what work your fitter has undertaken (checked Pipes, Beacons, reverse alarms etc.) A signature block and statement to say along the lines of I ave looked at this equipment on dd/mm/yy and found it to be free from patent defect. AND include any qualifications. Hope this helps Yours aye Db
