The company in which I am HSE Manager are to refurbish the reception area in a couple of months time. I am in the process of undertaking a risk assessment of the proposed temporary arrangements for our receptionist to use the security guard lodge, which is redundant during office hours and only used for out of office security arrangments. The lodge is a small portacabin type of structure with a single access and exit point to one side and a sliding window for driver / pedestrian communication when visiting site.


I have identified potential issues synonymous with lone working as the security lodge is a the entrance with the site and is approximately 50 metres away from the normal reception within the building.


I would like to ask for some advice on not just the issues associated with the temporary location of reception, but as reception in our company is a hub of activity etc for meeting and greeting people, what arrangements should I be thinking of for ensuring visitor / contractor sign in books are available for entry, conflict with vehicle traffic in the area to sign in at this lodge, meeting points for people, including any disabled persons whilst the reception area is out of use....

Any help is greatly appreciated on this what could be a disaster waiting to happen....

Am hoping you've maybe had at least one response!

On the face of it, your traffic management arrangements would appear to be key. I'd suggest some kind of segregated walkway between your reception hut and your office. I take it that it's out of the question to move your reception portakabin?

Sign in/out books are best placed wherever your visitors first arrive, and are likely to leave.

I'm afraid assistance is pretty limited without a site drawing to look at and an idea of what works you're intending to carry out.
