When you have an external trainer on-site what do you do in preparation for when they arrive on the day or even before they turn up? I’m specifically thinking of a trainer who you will leave unsupervised once you’ve taken them to the class / seminar room. Some things that I think you should do include: Get them signed in at reception Make them aware of any expected fire drill Instruct them how to get to assembly point if alarm sounds (provide map) Give your contact details (office number / mobile) Nearest first aider / first aid kit Location of toilets Do they have everything they need? e.g. laptop connection for presentations, flip chart Refreshments (Are they provided? Where can they get them?) Delegate sign in sheet It is Monday morning so that may not be a complete list but are there other things you would do in preparation for leaving a trainer to ‘get on with it’ or anything else you would provide them with? I’m trying to put together a comprehensive check list for people who have brought in a trainer and don’t want to miss anything important! At the same time I’m not sure if it’s relevant to go into certain things such as accident reporting (this would be covered when you ask how everything went at the end of the training).

I don't think you need to over think this at the end of the day if the trainer wants to know anything then they can ask you or one of the delegates on the course. I'm sure they can use common sense if they want to know anything. i think signing them in and informing them where the fire assembly point is sufficient as someone who carries out training ensuring that the computer sides of things is up and working is important rather than just getting being left to work it out for myself. Don't forget they will be with employees so there should be no real issues that can't be sorted out amongst those on the course.If there is a fire or a drill then i would follow an employee rather than trying to remember what was said 5 hours previously or trying to follow a map when i'm not at all familiar with the building or site layout so probably won't be much use. It's a bit like blindfolding someone and dropping them of in the middle of the country side and giving them a uk atlas to find there way home. Phil Phil

Thanks Phil, good point about following someone else out although I think I'd still like to have told them the correct location first just to be sure...

It depends upon the complexity or otherwise of the site and whether the trainer will be accompained by a "host" for the duration of the "visit". In our case, we have either an accompanies visitor or not. If not, we insist that a relevant site induction is carried out, but tailored to the location/activity by the host.

Well said Phil. I can find out nearly everything I need from the delegates if necessary, but if the presentation system isn't up and running and there is no techie around to ask ...........

I delivered training on a Next distribution centre near Rotherham today and was told by the main contractor where the muster point was and the welfare arrangements. He asked did i need anything else and i told him i had a class with 12 of his men and if i needed anything, i could ask them.
