Hi All, can anyone give me a steer with regard to driving on company business and a sensible approach to infrequent business drivers. We have a clear policy that if you drive on company business in private cars you must have business use insurance, MOT, Licence checks etc. We may have people attending training sessions once or twice a year which is not their normal place of work and these numbers can be quite high April through Sept. Does anyone have a similar situation and how do you manage this? Also we hire a large amount of agency staff to work at one of our sites and then we may ask them to go to another site which could be by their own car, would you say we are responsible for them with regard to checking licences or as its not their permanent place of work it would not apply? Many thanks.

Speak to your insurers as they should have detailed guidance e.g. The basics [I repeat the basics] are that if driving is part of your job then you need business insurance if you attend the odd training session and driving is not part of your job then you do not need business insurance

HSE publication INDG382 - Driving at work, and ROSPA publication - Using your own vehicle for work, may enlighten you further.

Another route would be to speak to your insurance company, we had a similar situation where an employee who would not normally be driving at work was required to. We spoke to our insurers and they provided FOC an "occasional user" policy which cobers this exact situation.
