I have been tasked with looking into methods of ensuring continuity of H&S advice within my organisation. My company is a nationwide operation with a team of 6 regional H&S Advisers and the problem is that when one of the advisers is unavailable (sickness, holiday etc) we need a process in place to ensure any queries directed to them can be picked up by other members of the team. Unfortunately just providing an 'out of office' reply on email and telephones is not working so we need to look at alternatives. I appreciate that this situation is not unique to our organisation so wondered if anyone out there could share with me how they have addressed this issue. Thank you

I'd start by giving shared access rights to emails, with decisions as to who has access rights dependent on issues such as who gets the confidential stuff.

Peter beat me to it - but it is possible to have a shared email account - accessible by all the H&S team. Similarly you can set up a shared telephone number.

Firstly I must state that I am definitely not an “IT” expert by any stretch of the imagination; but can your phones and/or email accounts not be set to redirect to alternative phones/email accounts as and when necessary?

Can your IT dept set you all up as a mail group? That way, you'll all still have your own email addresses but you'll also have a group address. If an email is sent to the group address you will all get it.
You could (when not available) autoforward any email sent you personally to the group. that way, somebody else can pick up your emails whilst your not there.
The only problem with this is if people are sending you non-work related emails as whoever you autoforward to would see them.

Our wellbeing assistant hold a Health & Safety Mailbox, which can be used when one of our regional bods are away, she can then transfer any queries to the closest advisor.

I set up a system a year or two ago for a collaborating company of mine that required a single email address for H&S.
safety@xyz.com was understood by everyone, and was accessible to all of those who required access without the complexity of setting up access rights to shared accounts. The IT support liked the approach, then took it a stage further.
This allowed us to route all email traffic through safety@xyz.com but with replies tagged with the senders name myname.safety@xyz.com. This provided complete traceability.
This latter function required some software enhancement and carried a modest annual licensing fee but was worth it. For a smaller organisation or where that degree of traceability is not necessary, the single email address with everyone dipping into a single account worked well enough.
