Hi Every, I am looking or some help in preparing a presentation for stewards of a charity group that want to organise a parade and a world record attempt, with up to two thousand people in a farmers field, as part of a rural towns festival. Does anyone have a suitable presentation I can modify or a hand book or any relevant hand-outs or information? Many thanks Jerry Buckley

In case you are not already aware have a look at the HSE's website. Lots of useful tips and advice. This should also link you to the HSE's event safety guide. http://www.hse.gov.uk/event-safety/index.htm

Jerry Not sure of your actual role in this, but the stewards briefing (I wouldn't call it a presentation as such) is really about practical stuff like what they wear (distinguishing T-shirts whatever) & how behave, site plan, location of first aid, lost children etc, communication, and emergency procedures which should all have been considered as part of the plan. There is hardly any actual "H&S" content in their role, and it is not 'H&S at work'. They are more "customer care" stewards. As a safety practitioner I would avoid being drawn into steward briefings as almost everything they need to know or do is defined by the event organising team. Which I would then have to learn - they should do it. Not H&S - just good organisation and planning. Just because the ultimate objective is to have a"safe" event, doesn't turn instructing the stewards into a "safety" specialist job. As I said, not sure of your role, so it could be that you are the organiser anyway. Also search (google) for "event guidance" contained on many council websites which may contain elements relevant for a steward hand-out. A site map, timetable, key contact details and procedures, and what to do in an emergency (define), should be adequate, with report / finish times, where to park and whether to bring lunch etc. Remind of personal weather protection to bring - sunscreen to poncho - and I would make sure they have access to water and some welfare provision, but it depends on location and extent of event. I hope it's not today! (in the north-west anyway!).

Hi Jerry, I agree with the points and information suggestions that sadlass makes, as this is the type of information that I have provided in the past for event stewards. If you have an event management plan and have carried out RA then pass on the key bits from these documents in your information sheets. There will be a need for some generic information that all stewards need but also if you have stewards working in specific areas then consider some tailored documents for the activities they will be doing and the information they need for that. Hope the event goes well and they become record breakers!
