I have a plan.... a cunning plan....
Our operatives carry many different materials in their vehicles for use on sites. Most of these sites like to inspect the coshh data (Assessments and MSDS) as they are often hazardous sites such as petro chem etc.
We have no problem giving them what they need, however at present we provide hard copies within the vehicles. This takes up an awful lot of paper and is difficult to use.
What is everyone's opinion on providing all this (and possibly more) info on CD discs?
The problem being though that our vehicles do not have laptops to read the discs.
(I suppose I could go and buy them all Ipads? I'm sure the boss wouldn't mind...)
Are we stuck with providing reams of paper documents?

roshqse, as it's your clients who are seeking reassurance you're not bringing uncontrolled additional risks to their operations, you need to be able to provide the information they seek in a format they can understand.
Speak to them. Advice here will be largely irrelevant in shaping your clients attitude.

We have a system which can access the assessment if required. As long as you can access the internet there are a number of systems that will now allow you to do this via smart phones, tablets etc. The benefit is that they access the latest version and easier to amend without having to replace umpteen paper copies (all printed paper copies are classed as uncontrolled documents and have a warning that they could be out of date).

Could you send it over via email so it is already kept on their records?
Billibob - is your system something you have created internally?

How about phones?
or a secure web site that client can log onto where all data is held...
Who needs ipads, cheap android tablets can cost as little as £100, add a free office app - use a phone that can share it's internet.... cheap and hi tec solution.
or for a 1980's solution why not use branded pen drives - added bonus is you can buy big ones and the guys can all put music they own the copyright on as well and they can plug them into the usb port on your posh work vans....
I think it's a very good idea - even better as with a tablet amendments could be made on site to make assessments site specific!

Lots of ideas there. (and what posh vans are we talking about? HA!)
I'm liking the secure website link and mobile phone option.
We are looking at changing the supervisor phones next year anyway so tinterweb access would help with that.
I'm thinking ...
website link...
password protected which we could also give to clients to access what they need for their records...
our men can access on site when needed, even out of office hours...
I can update or change a single document without printing off dozens of the flipping things!
Wonder what else I could use it for?
Health and Safety policy?
Safety alerts?
Training bulletins?
The opportunities are endless! (except I've ran out of ideas already!)
