Health and Safety Audit / Inspection Software

Hi all - need some help. Site inspections (we have 18 sites in total) consist of looking around and noting any / all health and safety "issues" e.g. damaged ladders / housekeeping / lack of PPE etc.; visits every month. This has worked fine (report sent to each site for action - mostly on one page), however, we need to improve. Thinking of going down the Audit route; each site being audited four times per year. Have tried modifying (changing) a few audit documents I have - not easy, not really what I want. Is anyone aware of any free or paid for H&S audit or inspection software? Has anyone any experience of actually using such software? Any thoughts would be much appreciated - many thanks.

If your current system of monthly inspections works fine is there really any need to change to quarterly audits? If such a change occurs it's possible that line managers and employees on the sites might perceive from the reduced frequency of visits that health and safety has somehow been downgraded and that they can get away with lower standards. Also, if there's a change to using checklists/ticklists for audits, it's also possible that some deficiencies on the sites might get overlooked if they're not specifically mentioned on the lists. However, much depends on the type/s of sites involved (transient construction and/or manufacturing premises), who is doing the inspections/audits, and the range and nature of deficiencies/issues which tend to be found on the sites. Also, it depends on how you and others define 'inspection' and 'audit'. Over the years I've sometimes found a few people have applied the term 'audit' to inspection activities because somehow it sounds more important/modern than 'inspection'.

Many thanks Graham for your response. It seems the reason "others" are pushing for this Audit approach is that they (Directors mostly) like to look of an Audit type of document(?); they can see areas looked at, all the questions (650!). This approach will take most of the day to complete - possibly more with no actual gain! A software approach might be quicker and easier (hopefully with a summary sheet at the end - or am I asking too much).

Undertaking audits are different to undertaking inspections / checks and to note Grahams comments; many do not seem to know the difference but the word audit has extra kudos!
I would get an exact idea as to what is wanted before embarking on an exercise as audits take up more time than inspections

Thanks Bob - your (totally) right in your comments. Have always carried out (regular) site inspections, audits are and always will be completely different. Looking for a "workable" solution to this problem.

If you want to do an "audit" - then audit against the organisation's own procedures. Or, against an external standard such as HSG65 or 18001 (which are essentially looking at the same thing). As has been stated, there is a big difference between an inspection and an audit...............although many safety practitioners don't seem to know the difference..........in my experience.

Hi JHF, I've had the good fortune of working with Yellow Jacket over the past year - It's a great tool for managing your Audit's and Inspections, which you can load onto the application then tailor to your needs. It's then accessible online from a computer/tablet etc... and can be completed by the Safety Manager/Advisor, or any representatives on site. The great benefit is it collates all the information together and displays it in easy to read/visual reports, enabling you to quickly spot trends across all sites. You can run reports on a site by site basis, or for the whole organisation. The real benefit is that all the work you put into every inspection and audit will provide information from which to make important decisions on, rather than this information being difficult to find or collate as time passes. It also helps manage accountability for actions raised on visits.
