Does anyone else have any issues with managing employee CSCS Cards and other Grade card through Partner Card Schemes?
We have employees with various types of CSCS cards and also grade cards from the likes of ECS and Skillcard. The problem I have is when these cards are expiring our employees look to us (SHEQ Department) to assist them in renewing them, the business has always paid for operatives to complete the required H&S test and then have the employee pay for the card. When booking tests this can't seem to be done like we'd book someone onto a course such as IPAF or PASMA, it seems the only way a booking can be made is by the card holder themself!! which means we can't be sure tests are booked, cards are applied for and have little or no control in ensuring that our employees have a valid CSCS or Grade Card.
I'm looking at written a policy for the application and renewal of cards and wondered if anyone had any decent feedback or advice if they've done something similar
Thanks
Martin

A lot of training providers also do the CSCS H&S test for a few quid extra (£30 generally rather than £20). I used to just do this as you're right, booking them directly through CSCS always seemed a hassle.

my wife used to sort all this for our lot, most important bit is a chair next to your desk and phone, with list & persistence. booking tests - they used to have a method for booking, and she did the bookings, then we'd drop off at test centre and collect - can't park near by, then get forms sent off as pain in the arse to get admin done by operators, and at the office it's far easier to have right things needed to hand. they would then bring letter and card in for scanning and putting a copy in their training records part of hr file, and training matrix updated with new info. it needs to be managed by someone, it needs to be controlled and recorded, with copies available so that records can be accessed within the company for checking, planning and creating a who needs doing in next x months.... always a challenge to keep up to date, but by having a training record that you review with the person, it allows you to be aware before my card's run out and need to do it all again. note cscs were talking about no renewals if forgot about over 3 months out of date, so need to be ahead of curve, and allow for making time to review test materials/talk through and the videos & q&a sheets they have generated as subject areas to know about. i.e. quick hitches, and watching the video "setting out" a few times also, although it's a real pain, the practice of going through the process a number of times makes it easier to get right, and less rejection of forms at first pass, so whilst it is annoying, it makes life easier for all.

Hi Martin, We currnetly use a system called Chipmunk Data that really helps us manage our workforce in terms of renewals, etc. It may be worth having a look: http://www.chipmunkdata.co.uk/ Hope this helps.
