Is it "unreasonable" to ask contractors to submit their risk assessments and method statements in a particular (our) format?

What is special about your format? Does it ensure that every relevant issue is covered (and theirs don’t) or is it just that yours look good in the ring bind folder?

Rather than the form I would be far more concerned about the quality of the risk assessments from the contractors. 

In my particular field of specialisation I see many risk assessments that frankly are inadequate and could result in those involved in the particular task in suffering damage to health. This includes the client's own risk assessments as well as those from contractors. Indeed, they are often a contributory factor to the health issue that I have been asked to investigate and assist with.

michaelt - in answer to your original post, no it is not unreasonable, you are the customer. However you will need to provide them with suitable instructions on how to complete your format.

"unreasonable" I think so, if your contractor has a template for RAMS of his own, as he will be used to the format and understand it. You could require specific information to be included, my company give the contractors a copy of our RAMS review sheet to help in this respect.

If he doesn’t have his own template give him yours, but I would remove all reference to you company.

Yes because insisting the document is in "your format" it is no longer their Risk Assessment but a contractors employee completing your documentation.

We will and do refuse such requests as in conjunction with RAMS people also want our ISO certificates, insurance details etc. - our management systems example our controlled documentation including RA templates, MS template together with their completed and filed counterparts by project and client. It is these documents our employees are trained to recognise and understand and these documents the auditor looks for.

Now if you want to make it part of the contract and pay for the additional adminstration and training as client/customer that is your perogative but it must be discussed and agreed up front - not an after thought after the ink has dried.

The form is how you record your assessment findings, NOT how you carry out the assessment. Therefore the risk assessment remains the assessors, not the administrators.

"Unreasonable?" might not be the right question does it add value?  probably not...........

Put yourself in their position, are you their only customer.  Imagine if they had every customer asking them to fill in their template.  What is the benefit especially when their staff will be trained in their own process.

I get asked to complete RAMS in the PCs format from time to time. I don't like doing it, because we have a template which is clear and concis and putting it onto another template doesn't add to the RAMS in any way.

Some PCs will provide a RAMS checklist when requesting a RAMS which gives a breakdown on what infomration is expected from the PC. I find this a better approach as it ensure we can go through and ensure we have covered the items, but still use our own tried and tested format.

The term 'site specific' is used a lot, when the PC really just wants more detail. Site information comes from the CPP so make sure you send this out with your checklist.
