Hi

As we have been restricted due to COVID, we are going to start doing a review of our sites that scored low in their Health and Safety audits. We will be reviewing what they failed on by a show and tell and then selecting 10 sections that are the most important to review where they passed to ensure they are still maintaining those standards by having a Teams call using video and they will walk us around their site. The aim is to hopefully improve their previous score.

Has anyone else done any Virtual audits and how have they found it?  Also I am thinkimg of going down the route of a full audit but not sure if this will work. If anyone does something similar please can you let me know your challenges with it and your approach.

This will not replace a physical audit going forward, once we regain normallity after Lockdowns arre lifted and restrcitons we would be aiming to get back in the field. This is just to ensure we are compliant and not relaxing our standards during this period.

Good question. Next week i will be hosting a remote two day external QA audit and will, i am sure be subject to a steep learning curve. So far the biggest change has been gathering evidence that would normally be seen physically (Warehouse controls, training records etc) and of course having to book numerous 'Teams' meetings with departments at times to suit them and the external auditor. I wish you well with your audits and hope they are succesful. Phill.

We had a remote external audit in the summer.

The site tour element was done by someone on site walking around and pointing their mobile phone at what the auditor wanted to see.  I think this element of it was done on WhatsApp although the rest was done on Teams.

It worked for us.

IEMA have produced some useful guidance on remote auditing:

Obviously it is from an environmental perspective but the same principles apply.

Make sure you agree a clear set of commands - you need the camera to be your eyes and ears instantly not after a control delay (Forward, Stop, Back, Turn Left/Right - or call clock positions, Pan Left/Right/Up/Down, Zoom In/Out)

Check the signal with a pre-audit walk around to make sure there are no dead spots - what works on the office Wi-Fi may not reach the back end of the storage yard.

Of course all providing your site has no issues with electronics in particular areas AND has nothing confidential it would not want to see transmitted - it may be your Teams connection that does not necessarily make it secure or private.

Of course being Teams it gets recorded so be careful with viewing any personal data.
