It would be appreciated if someone has any ideas, or factors to be considered when setting out policy, regarding vehicle usage and steps we can take to minimise our impact on the environment. We have a fleet of 110 vehicles.

We only have two important elements regarding fleet that might be applicable: Assessment of suitability of vehicle for use - for us this includes things like choosing a ration of 4x4s and run-arounds, that has significant implication on environment impact. The other, just full maintenance and not keeping fleet vehicles longer than six-years. We tried to keep it simple.

Promotion of car sharing, consideration to video conferencing instead of travelling, Use of train. Maintenance (think tyre pressures etc, which can make a difference), not carrying tonnes of junk in the boot unless needed, appropriate driving (speed, breaking). All depends where you want to go with it. Chris

We've just got ISO14001 and vehicle usage was a big part (we have 22 vehicles - vans). Our policy involves all above and also planning visits so travel is minimal. Our tracking system is going to be used to see how effectively we do this - or not as may be. We try to plan but as some of our work is emergency repairs this can throw out the planning in same area aspect - though we look to see if anyone is already in that area and is able to attend.

From an environmental aspects register you are effectively looking at: Exhaust emissions - emissions to air Use of fuel - resource depletion. As has been stated above if you are effectively a service company devoid of major manufacturing or process facilities and have a vehicle fleet this is likely to figure highly on the impacts scale, however there is little in practice you can do to reduce or mitigate this bar what has been said above regarding good driving practices, service and maintenance of vehicles and planning of journeys / logistics. Biggest potential for "reduction" is to factor it into the procurement stage using facilities such as : https://www.gov.uk/use-van-fuel-tools or considering streamlined trailers etc. if you are running a lorry fleet. I would reckon definitive lists of guidelines for effecient driving are widely available on the net. Best advice (again previously said above) is keep it simple, attainable and auditable, no need to overthink or tie yourself in knots.

Lots of good suggestions here so I might add just one. Un-necessary idling of the engine should be avoided. This wastes lots of fuel (on a fleet of 110 HGVs we calculated about £100k PA was used at idle) and of course it also causes lots of un-necessary emmissions.

Just been through a similar exercise myself when implementing ISO 14001. Who are your insurers? If it's Allianz then get access to their "Risk Director" software which is a comprehensive motor fleet risk management tool to help manage your motor fleet safety. Lots of useful stuff here on matters such as: general motor fleet risk management guides; driver assessments; driver training; journey planning; driver selection; driver induction and analysis and control. Trackers have brought our fuel usage down by 20% over the last 12 months.

In addition to various suggestions above, you could incorporate the Euro Emission Standards for vehicles. We employ a policy where all our company vehicles meet Euro 5 standards as minimum when we are purchasing or hiring vehicles with an aspiration for reach Euro 6 by 2015. You could record and examine fuel consumption for each driver. If some drivers get significantly higher fuel consumption than others, you could try and find out why (are they ones that leave it idling for ages?, heavy right foot?)

a few examples Monitor mileage, work out miles per £ and reward good mileage drivers, punish poor drivers ensure cars dont fill up with super fuels ensure all cars emissions are below e.g. 160 g/m3 of carbon no 4 x 4s or high performance sport cars on comapny scheme unless neccessary reward car sharing reward use of public transport information and training offer super economic vehicles such as prius etc etc.
