Hi all, I'm currently re-writing my Health and Safety management System (1st time doing this!). I have completed my organisation chart, now i'm writing the responsibilities of each level. Has anyone any ideas on how to make this document seem less text overloaded as I have had some constuctive critisim that is may not be necessary (I'm not so sure if i agree). Any thoughts on this would be extremely welcome.

I try to be very succinct, use bullets and group similar roles together, using titles such as Senior managers (rather than specific roles) I also try not to detail the roles of the fire wardens, first aiders etc as these are detailed elsewhere. Unfortunately I think that this is one document that is very difficult to reduce in size etc

The one I produced is similar to what Hopeful described. Everything was by job title and bullet pointed. This included the MD. However certain managers would be responsible for certain procedures which to a large extent were flow charts for that process and supplementary notes. I can't imagine why they don't want to have their responsibilities clearly written down :o) Chris

Yep, group mine by roles as well EH&S Advisor - level 4 Managing Director and Senior Managers - level 3 Department Managers and H&S reps - level 2 Employees - level 1 All senior managers are also H&S reps so it is just the general employees who are raised one level by being reps. Hope this helps.

Hilary I have noticed that you have given yourself the highest level of responsibility: Very brave! Surely this should lie with the Managing director/CEO?

I've done the same as everyone else suggests however when we went for 18001 I structured policies into relevant topic areas, e.g Control of Contractors, Workstation & DSE, New and Expectant Mothers. I listed all the appropriate functions from Organisation CEO, Directors, managers and importantly individuals and outlined through bullet points what they were responsible for in relation to the topic. It made people understanding what they needed to do so much easier and avoided staff moans that the organisation weren't doing there bit when they had an absolute role to play under the HASAWA.
