My company manages a site for a customer. The customer has two representatives working on site on a daily basis.
When you drive onto the site, delivery trucks go into the yard area whilst cars head down a road towards the car park. I have installed a speed ramp on this road to slow cars down. No-one has an issue with this ramp apart from the customers' reps. They are refusing to drive over the ramp and instead insist on driving through a working yard and parking at the rear of the building, a practise which is banned on site.
As far as I'm concerned we manage the site so our site rules should apply to everyone.....but the general manager doesn't want to upset the customer by telling him what his reps are doing. Any advise on this?

I agree, you're looking after the site, your rules apply to all, not to tom and dick but not harry as it were

Fill the rear car park with vehicles
Or
Block the access with a truck so they can not get in ( make sure driver is on tea break)
Or
Block them in at end of day ( and more tea)
Or
Put in another speed bump
Or
Tell their employer you are concerned for their safety and the company vehicle and the safety of your people.

Or why not just flag it up in a site audit as a non compliance and pass that on, maybe after obtaining the offenders comments.
Also look out for any near misses involving these two vehicles and flag those for investigation. Root cause - non compliance with site rules by client's reps.
If money was no object - put in a vehicle access gate for the route they take with a high level intercom system suitable for lorry drivers but unreachable by car drivers.

Just by-passed my boss and got the customer to authorise clamping the reps' cars if they continue drive through the yard and park at the rear of the premises. Needless to say I got a lecture from the boss about upsetting the reps.!

Sinead. Don't worry about upsetting the boss, I find i can sleep better knowing that i have done the right thing, even if this upsets some people.
There would be a lot of finger pointing and sloping shoulders if someone gets hurt by theses reps refusing to toe the line. So stick to your principles and well done for doing your job.

Any advise on this? This can be very challenging. My company manages a site for the owner who is also on site and it does present it's challenges. I follow the approach of trying to set out in the policy and arrangements type document what the arrangements and responsibilities are; owner and manager so to speak. Once the main principles have been agreed and are documented then it becomes 'easier' to educate those who do not wish to comply. However, all said and done the day something seriously goes wrong then the authorities will make their own minds up about who is responsible. Really your job is made more difficult because your Manager is ducking out of his/her responsibility and hence you are having to be the manager. The H&S job is sometimes a very tough job, I sometimes wonder why we do it but the world is a safer place that we do so keep doing the right thing. Regards.
