I'm looking appointment letters for key positions. Now the thing is...WHO? Can I go to far? Are there legal presidents? Safety Reps, First aiders? Is this list going to be endless, I just want to cover what I'm obliged to do.
Looking for some guidance chaps/chappettes, I don't think this is as simple has I first thought, but then again it is Monday.

It will depend on the type of role really. For legal duties such as a First Aider I suggest a letter of appointment is signed off by a senior manager. For a TU Rep a letter should be received from their TU to confirm their appointment. For other roles such as a 'Champion' this could be as simple as an email. However, I would recommend that all roles should have some form of appointment in place.

I would also suggest a project/company training matrix is in place to identify roles and any training or expiry dates associated with those roles.

This is my argument, we have a H & S organisation chart that identifies all the key roles (Loler Man, Coshh Man, Puwer Man, Head First Aider, Chef Fire Warden etc). Each has its own job description detailing roles and responsibilities and authorities, I just think that a letter of appointment formalises the process others think we have enough in place, might be me being pedantic.

We do use training Matrix for our training plans, very useful.

The only Appointment Letter you need to ensure is in place and acceptance letter from the person concerned is with regards to L8. Everything else you can manage in the way you have described.

The only other letter of appointment which I am aware is required is under the Ionising Radiation Regulations when an RPA is appointed.

I am not up to date with the Environment Agency’s requirement for the appointment of Radiation Waste Advisors but I suspect such appointments would also have to be in writing.
