I am putting together a 'compliance register' for a hotel and want to be sure I have not missed anything. The idea is that managers have records available and this is a check list to follow. So far I have come up with:

HS Policy and arrangements etc.
Food Safety Policy and HACCP/Safe Catering system.
Asbestos surveys, register management plan.
Fixed Electrics certificate and PAT Register.
Gas Safe Certificate.
Legionella assessment.
Fire Risk Assessment
Annual fire alarm test.
EL Tests.
Fire extinguisher inspection.
Accident Book/ RIDDOR
Kitchen extraction test/cleaning.
Employee induction records.
PPE record sheets
Ladder register
MSDS

Would appreciate any additional ones that the enforcement authorities may look for please.

Business Continuity Plan? Crisis Management Information? COSHH assessments with the MSDS, fire drills information- authorities may not specifically ask for them but they are good to have to show you are thinking outside the box and beyond

In your kitchens you may have steam ovens, and it is very likely that you have coffee machines that generate steam - these carry a requirement for statutory inspection at inyervals defined by a written scheme of examination. Records of these must be kept.

You may need to keep records of your plans to control vermin and pests (of all sorts!)

With your crisis management information it is good to have drawings of the site with the layout of the water supply to the buildings, the drains and the nearest hydrant(s).

Also the electricity and gas supplies, as they may need to be shut off in a hurry.

location of any gas bottles (Propane??)

First aiders/appointed persons

records to show you are disposing of your waste safely and legally

risk assessments for your activities, where appropriate.


records of drivers licences and other information required to show compliance with the law, if the hotel has any vehicles.

Security management - avoiding trespass, break-ins, dealing with intruders, cash movement

Dealing with the public - difficult/violent customers, stress management, dealing with emergency situations, when to involve police

Vehicles and traffic - car park plan, any one-way system or route priority, any traffic signs, any marked footpaths needed, any special arrangements for deliveries - beer, food, laundry, banksman duties

DSE and telephone/headpiece guidance

Manual handling - e.g. laundry, food

Contractor management - if applicable, cleaners, kitchen staff, waitresses

A MINION list of those people who have specific duties, and what those duties are, to undertake on your behalf as you cannot expect to actually do them all yourself.:-)
