Hi,

I am putting together a checklist for managers in our organisation who are occupying new premises so as to ensure they do not miss out anything important.
I am thinking of including items like:
- Arrange for Fire Risk assessment to be conducted by a competent person
- If the premises is pre 2000, arrange for an asbestos survey to be completed by a competent person
- Electrical installation certificate inspection
- Welfare arrangements
- First Aid arrangements
etc

I would be grateful for any ideas that you all may have as to what to include on this list.

It depends on your safety management system model for the building. Basic building functionality (window cleaning, fire alarm maintenance, lift maintenance, recycling etc) may be covered by your FM team, including inspection of communal areas. In addition to routine maintenance, your insurance company will probably carry additional LOLER checks on the lifts, roof cradles, etc.

Your managers may need to set standards and consider things like prohibiting portable fires under desks; preventing daisy chaining of extension leads; testing panic alarms have a rehearsed response; tesing the disabled toilet alarm has a response; signage is in place; housekeeping is good (avoiding storing equipment close to fire detectors on tops of cabinets; avoiding storing combustables close to light fittings); preventing staff standing on chairs to reach high filing; storage cabinets are stable and not overloaded; sight lines are clear from reception counters, etc .

Your fire wardens should be checking fire doors close properly and are not damaged, fire routes are clear of storage, emergency lighting units are working, signage is in place etc.

One area you may need to think through is disability access and egress for staff and visitors, including PEEPS. This may need to consider working outside of core hours and evacuation arrangements. Disability issues may also impact on parking arrangements. Do you have enough fire wardens; can the lift be used in a fire; if not, do you have people trained in the use of EVAC chairs? Does anybody test the communication system in the fire refuge point that houses the EVAC chairs, etc?

Also, if it is a shared premises you need to co-operate and co-ordinate with other tenants. We do this via Building User Group meetings with floor reps.

Your manager should be able to access the H&S File for the building. if they can't then you've got quite a lot of work to do. If they can it should at least help get them started?

ok more sensible one's

Are there any specific lease agreements that have to be complied with.

Are you near any SSI's that they need to take note of.

Are there any protected wildlife in the grounds etc
