Does anyone have an assistant or another member of staff that they have for holiday cover? I'm lucky enough to now have a colleague (new starter) that has the NGC from a previous job. He has been put forward as a candidate to fill the roll of a back up for when I am off site or away on holiday etc. How do other people manage this and what exactly can you expect from an individual who is covering? I was likely to give him access to all of my files whilst I am away and ask him to be available as a point of reference for any accident/incidents. I'm not sure what else he can really be expected to do for such short interludes. Any thoughts or experiences would be greatly appreciated. Pete

Hi Pete, Flying solo here, however we do have access to other government department's advisors if the need arises. Should the brown stuff hit the fan, the directors do have my personal mobile which tends to get answered regardless.

took two new staff on last September, first christmas in ten years not on call, it was the best one I can remember! You mention that they are back up for when you're not there so I'm assuming they have other duties? If so, i'd probably just use them as a filter, get them to deal with any queries or calls and not to involve you unless someone has died or been seriously injured. Schedule the day to day stuff for when you get back. If part of your role is carrying out accident investigations it might be worth getting them involved more frequently so they know what to do when you're not available.

The role of a safety practitioner should not be so critical that 'cover' has to be provided. It's not an emergency service! Obviously for sustained absences, an interim arrangement might be considered necessary, although most industries probably could cope if they have well-trained managers and effective, usable systems. As so many local authorities are finding out, by just cutting or even eleiminating the safety provision. Yes something really bad might happen whilst the one SA is on holiday. So prepare a plan, allocating who would do what, and a pre-arranged legal adviser on tap. If it's that bad, this would be the first thing you would do anyway - call a lawyer. If safety would fall apart if the safety adviser was not there, I think you are doing it wrong.

Some good replys here, I think I have a good safety management plan in effect. It would be as I said initially, to answer any questions regarding safe working that may arise and to carry out any investigations that really can't wait. I was wondering if anyone did things differently thats all. I certainly will not be questioning how I currently fulfil my role. I wouldn't have gotten this far if that was the case. The cover has been requested by a higher management that may see things differently to you an I. If it means I don't have to pick my phone up whilst on holiday, then great!!

I have a deputy, but not for all matters. As long as there is a robust emergency response procedure, it is not essential to have a full time cover. Although I have never been called to site out of hours or even via mobile , I am available via the company mobile, should really exceptional circumstances demand. However, we are a Reseach & Development site dealing with chemical additives, with labs & pilot scale facilities, and not a manufacturing site.
