I am volunteering my health and safety services to my local school while working towards my NVQ5 and am wanting ideas for the following:
When issuing updated policy or risk assessment documents in paper format the school obtains signatures on a sheet as evidence that the revised document was issued to them (this is in addition to staff briefings or training on it's content etc). This is of course quite laborious and the Business Manager is left with many partially completed sign off sheets when people are off, and then there is a further update issued etc.
When in my previous job we collated this information via emails electronically, but this system won't work at the school with the staff not being so email based in their working practice.
Can anyone help me with other ideas please? Thanks in advance.

Legally there is no requirement for anybody to sign h&s policies or risk assessments.

While Ian Bell is 100% correct, I think that obtaining signatures is a great way of getting people to pay attention.
I don't really have any other suggestions as, IMHO, nothing beats having that persons signature on a bit of paper.
Now bearing in mind my experience of schools is very limited, could you incorporate this into a teacher training day? Or perhaps email the document to the teachers with an attached signing sheet for them to return (granted this will result in more bits of paper and some admin so that those outstanding can be chased) or maybe offer some kind of incentive (canteen vouchers?).
These are what popped into my head straight away!

Yeah , what Ashley Wilson suggests Send an email with attached docs
do a read receipt malarcy
ask for confirmation email back to you that your email has been received, read and understood

You could look at including it as part of the appraisal system by getting the appraiser to include discussion about H&S policies & proceedures, and how these are applied in day to day activities. Would give you evidence of discussion, the teachers understanding & a signature.

With all due respect - I advise that unless U have lots of experience with schools [and parents especially] plus the LA etc. my advice is to steer clear at this stage of your career as schools are not construction sites, manufacturing facilities, offices nor other similar day to day business areas [although all areas interface] and anybody providing advice etc. can be very exposed. Additionally the local LA enforcers, in-house H&S team Ofsted, fire service etc. are also involved along with both charity and none charity volunteers
I also advise talking to your NVQ appraiser as there may be problems here as well
I want people to get on in the world but not at unnecessary risk to themselves hence my comments after working with all types of schools for 17 years where even on the last day new situations arose

Thank you Kenty, I like this approach and will suggested it to the Head of the Academy.
Thanks for your advice Bob Youel, I can see where you are coming from and understand the risks. My appraiser knows and supports what I am doing, I am already a parent school Governor, and have already gained indemnity insurance and more besides. Only 3 weeks to go before I finish this NVQ... wish me luck!
