Hi. Is there any objection for having a fire safety log book as electronic copy? In our place the system is backed up every day, 25 comuters to access it, access from computer outside the work premises.

That is not a problem. 

The fire risk assessment (in some cases) needs to be recorded, but there is no stipulation how that should be dones and the same for the emergency plan.

There is no direct requirement to record maintenance, staff training, and similar documents in the Fire Safety Order. But Article 11 makes it a requirement to monitor, organise and review fire safety systems, so it could be a breach of that Article if you cannot provide evidence in those areas. Records for this therefore can be held electronically

If you look at articles 13, 17, and 21 of the FSO they need to be maintained, how do you prove maintanance. There is also British Standards that state maintained and recorded.

There is possible more documents out there but you have to record to show due diligence and if you are inspected by the FRS then they will insist on seeing the documents. Depending on how big your environment is if you have a fixed system then you will need to have this insoected and tested under the British standard I think BS5839 Pt1. If it is an electronic system how do they record.

I work for a charity with approx 25 sheltered houseing projects. We use an excell spreadsheet on the company server. So can be remotely access to record all of our weekly/monthly/6 monthly and annual checks. We have a folder for each property in the HQ for hard copy certificates, fire ext servicing, intuder alarm servicing etc.

Works for me as I can see all the checks in 1 place and if needed walk upstairs and check hard copies

We moving towards a paperless society, electronic is the way to go.

Electronic is fine but remember the person doing the testing can't carry it around with them while doing the tests unless of course you have Ipads

make sure you have a backup method to have prior copies, and or way to see who modified the records in it. - if the records were down as done, but hadn't been checked off, how could you confirm when and who modified it, alternatively, if there were items done, but not recorded, then that would be a problem, so you have some system or procedure, and a way to go back to one some time ago to verify at a point in time "where we were". perhaps ask about version control or having a backup stored outside of your control for audit purposes, or an audit and point in time version copied elsewhere which could be verified, especially in the event that you weren't there and someone decided to go back in time saying these weren't done then...
