Posted By Jeff Manion We have written two statements to be handed out to various individuals; both refer to "contractors". 1. One is for the written instruction and should be in place every time you instruct them to carry out works etc. Your purchase order. 2. The other is shown to contractors when they are visiting site - amendments to coincide with fire drills may have to be made. First you must question "contractors" and receive their documentation, then you send them the instruction do complete works (see point one above) - this will mean sending them to organisations whom you have instructed. Please ensure you have a system in place to question all contractors. You must consider how you will deal with others who may attend after normal working hours. You should use similar wording for any other visitor to the premises to ensure controlled safety. It would be best if you can place the cards in a plastic folder or similar bound copy and have them dated. Show the contractors sheet to contractors and the other sheet to all visitors. You must try to get on each agenda (point one of the agenda) the safety message i.e. fire bell what to do toilets etc) at each conference. At Reception Desk to allow all contractors to view. XXXX operates a non-smoking policy and we would ask that all visitors respect the policy of XXXX. If you hear the fire alarm sounding you should leave the building by the nearest located exit, do not collect your belongings and proceed to the agreed location in the park adjacent to the building. Before commencing work you should be aware that working within these premises comes under the 'Health and Safety at Work Etc Act 1974' and relevant statutory provisions made under the Act. It is assumed that any article or substance supplied is used safely, is safe and/or without risks to health of the user and any persons located within XXXXX. We would therefore expect you to be aware of these requirements and we will from time to time request copies of documentation from individuals who attend or intend to work within XXXXX. If it is found that you do not have suitable documentation, we may turn away any, all individuals or groups until suitable documentation is provided. By signing in the register book and taking a visitor pass, it is understood by all parties that you have read and agreed to these stated conditions.
