Good morning,
I'm trying to put together a form letter to send to all suppliers, contractors etc, to ask for all QHSE info, but mine keep getting rejected by the management for being too aggressive ! Anyone got a format I can take a gander at to compere ?

Have you looked at the H&S PQ on the CHAS web site? (http://www.chas.gov.uk/downloadq.asp). If you ask CHAS nicely they may let you have the assessment result sheet for each!

When you say aggressively, are you using threatening words.

They've either got QHSE info or they haven't.

Basically just ask for copies of their method statements, risk assessments etc and remember to say please and thankyou.

Its the letter format they are moaning about I proposed -

Dear Valued Supplier,
As a part of the continuous improvement of our Quality, Health, Safety; and Environmental Management System, we have elected to document information about all suppliers' management systems.
As a current supplier, you will be integrated into our approved supplier base, but we would like you to take your time to answer the following questionnaire as correctly and completely as possible.

Thank you for your cooperation. We look forward to a long and productive relationship with your company.

Sincerely,


But this was felt to be too aggresive !

Cripes Heathrow, that is darn polite, what are the 'Ivory Tower' afraid of?

For what its worth her is one I used on arrival to this company:

'Dear Sir

I am currently reviewing the Health & Safety submissions of our contractors to ensure total compliance with respect to current legislative and best practice requirements.

I have enclosed a contractor H&S questionnaire for you to complete and return with any required attachments. I do require that you return the documentation to me within 21 days of the above date marked clearly for the attention of: xxxxxxx(Health & Safety) at the above address.

All questions must be completed in full with the essential supporting paperwork where specified, incomplete submissions will be returned to you.

I do not believe the information requested is that onerous; if however, you have any queries or need assistance, please contact me as soon as possible, to avoid any delay in being approved for works at xxxxxxxxx.

I thank you in anticipation that this request will be successful'.

Personally yours is a far gentler approach.

I think it is the last sentence " We look forward...." which carries the implied threat -but I've been too near too many QSs and it rubs off.

Hell no, that is not aggressive.

Especially if you live in a place where people pronounce the day as star date 2599 and Cubes fly around space with voices screaming "you will be assimilated"

Sorry for the useless comment but I have had a bad Friday and trying to think I still have a sense of humour.


On a serious side, I think it could be toned down but still as effective.
