Posted By Stu Haysman A bit stuck here. Does anyone have any guidance on the retention times for documents relating to H, S and E? I've heard several timespans from 40 years (for occupational health), six years (for accident records) to 'life of occupation of site' (for environmental).
Also, if documents are scanned and stored securely, can these be admissable as court evidence, or must you keep originals? Our database system does not allow for amendments to be made to the documents and the quality traceability chaps seem happy with it.....
Is there a British Standard or similar which would tell what I need to know?
Groaning under a pile of lever arch files.....

Posted By Robert Tailby Personally, I would agree with all the retention periods you suggest, with 40 years being the catchall. Electronic document storage is fine as I recall it, providing authentic copies can be verified by a witness.

Posted By andrew morris From what little I know, there are varying retention times for different areas of health and safety. Some documents don't need to be kept once a more upto date one is provided - but others should be kept for decades. I'd speak to your insurance company who would probably be best place to advise.

Posted By MP Grayson You got to think about how you will store info if you scan it. Just think how many people have info stored on the old floppy disks. It wasnt so long ago when floppys were the bees knees. Not much use now, let alone in 40 years. Unless you need a new coaster for your cup-o-rosy-lee.
