Afternoon all I have been tasked with reviewing our existing contractor management system, so looking for some pointers and other approaches. To set the scene, we are an office based "professional services" firm, occupying eight floors of a multi-tenant building. We have a range of contractors and service providers, ranging from lift maintenance people to electrical engineers, IT cabling contractors to painters and decorators and so on. I can only summarise our current system as being a "blanket permit" system, where each contractor, regardless of the work, has to have an access permit to carry out the work. I see a number of faults with this system, largely that it fails to consider the nature of the hazards and the degree of risk associated with each individual contractor and each job they carry out. Our FMs don't like the system and don't understand the theory behind it (which I have to admit, is also lost on me hence the review!) and it's simply a paper based exercise to get the contractors in the door, then they're left to their own devices. Can anybody provide any examples of how they manage contractors in similar environments? Hope that makes sense!

It makes perfect sense. You need to have a robust vetting system based on the risks of contractors undertaking work on your behalf. I assume you have a contractor vetting procedure and validation system before any order is placed with a contractor, to ensure minimum standards and legal compliances? Following on from this that you have a database built from contractors as part of your supply chain, which includes some sort of periodic review system? For work being carried by contractors you should have a system that allows you to review some sort of safety method statement as part of the scope of works undertaken which the contractor in question formalises what are the risks associated with the tasks. This should be vetted, prior to work commencement, by your system to ensure that it follows a safe system of work. If you need to discuss this please PM me and I’ll go through it with you personally.
