Hi all, We are currently looking at EcoOnline Airsweb software for incident reporting and hazard observations. I would be really interested in hearing general product feedback and also on ease of use for both administration and end user. Regards, Michael

You are going to have to be a lot more specific software for: Risk Assessment, COSHH assessment, writing management system procedures, vendor assessment, tracking accidents......
There are tools for all business matters. Some claim total integration, others are core package PLUS, then anything non-standard is a very expensive re-write. With 45 employees you should focus on what is free via the HSE - any off the shelf "solution" will be embarrasing to justify in initial expenditure and by the time you work out it is not what the business actually needed your name will forever be associated with the wasted cash (if you are with the companyor not).

Thanks Roundtuit, it's baby steps at the moment and your comments reflect some considerations i've already made. We already have a robust OSH management system in place but what we lack, and from experience can be time consuming to put in place, are the dashboard type reporting systems that our Directors are requesting. We're also looking at factors such as future proofing for our rate of expansion (and subsequent administration required) along with potential compatibility with our client's OHS reporting systems.

Hi, Sorry if I am a little late to this subject, but can recommend the use of SharePoint, which many will already own with a 365 subscription. Yes, it requires a bit of work to set-up, but will provide you with exactly what you need to run your business, and integrates perfectly with your email (assuming you are an orgainisation using Microsoft applications). Well worth seeking out a SharePoint consultant to help you understand how to build effective system and governance structure. No better tool in my opinion, and very cost effective. A good consultant may even have prior knowledge of doing something similar. The difficult bit is understanding what you want your managment system to do, and what content you are going to hold, and what it will look like...then you have the small prospect of people changing to fit with the new culture. I would also like to stress how accesible it is for a semi tech literate User to build and maintain SharePoint and now SharePoint Online makes this very easy, plus Teams integrates out of the box with this solution. Think twice before buying an off the shelf management system for H&S, or anything else. Software is cheap and easy. Change is difficult.

Just be careful with which software you go for. Some of the better known providers actually end up owning your data. If at sometime in the future you decide to change providers you will either lose your historical data or have to pay quite a sum to have it downloaded to your new system.

Michael and Tim For general reporting of e.g. numbers and types of incident, you probably have some e.g. Excel literate young person who could do a programme very quickly AND will give you what YOU want not what some software provider chooses to think you need. Small companies shouldn't have lots of statistics to sort out - so something over complex is not going to help. Imagine there are 400 potential (multiple) causes of an incident or near miss in say three or four layers of direct and indirect causes, then if you track each and every one, most are going to come up in monthly stats as NIL. So, when you investigate and one of those causes comes up and registers ONE, is that an infinite deterioration in the trend of that type of cause. ....or the reverse, it goes down from ONE to NIL, is that an infinite improvement?!?!

If you have Office 365 you may also have access to MS Forms. It takes a little work to get the hang of it but it’s not too difficult. I built a whole accident reporting system with this. You can set it to ask different question depending on previous responses, so the reporting employee (they need access top Office 365 too) need only answer what’s relevant (eg: is it reportable? If “no” then zips straight past all the RIDDOR questions). With a bit of help from an IT specialist we then set up a dedicated mailbox so others, not just me, get an alert. It’ll do you a dashboard based on the questions (location, type of incident, etc.) and it automatically populates an excel spreadsheet with all the data. I’ve also used it for safety culture surveys and inspection reports from remote sites.Works on mobiles too.
